Billing works one of two ways depending on how you installed Xenia. Shopify merchants are billed through Shopify. Everyone else is billed directly, per organization, with plans assigned to individual workspaces.

Stores that installed the Shopify app are billed by Shopify. Your Xenia subscription and usage appear on your Shopify invoice, and Xenia never handles card details. The Subscriptions section in the embedded app shows your plan, current usage, and invoice history.

Because Shopify owns the payment relationship, plan changes and cancellations are confirmed through Shopify's own approval screens.

Getting set up (direct billing)

Two prerequisites gate the billing UI, and it walks you through them in order:

Add a payment method

The organization needs a billing identity with at least one saved card. Adding a card uses the payment provider's secure card fields, so the number never reaches Xenia.

Provision a plan

Assign a plan to a workspace. Each workspace carries its own subscription, which is what makes per-brand or per-region billing possible inside one organization.

Until both exist, the billing pages show the setup flow rather than empty dashboards.

Changing plans

Upgrades and downgrades run through a preview first: Xenia asks the billing provider what the change actually costs, including proration, and shows you that before anything is charged. Confirming applies the change.

Preview reflects timing

Proration depends on where you are in the billing period, so the same upgrade costs different amounts on different days. The preview is computed at that moment, not estimated from list prices.

Usage and limits

Plans come with usage allowances. Your Workspace dashboard shows how much of your allowance you have used alongside connector health, so you see a limit coming rather than discovering it. On an unlimited plan there is no usage bar at all.

Roles

Billing is Admin-only, and organization-level billing is restricted to organization administrators. Shopify-billed stores see their store's subscription instead of the organization view, so the two never appear at once.
